We are the data controller for all personal information collected through the OneRoomEarth platform at oneroomearth.com.

2.1 Registration Data

• Full name
• Email address
• Phone number
• Country of residence
• Password (stored encrypted — we never see your plain text password)

2.2 Traveller Verification Data

• Flight ticket (used only to verify name match — deleted after verification)
• Travel route and date

2.3 Trip & Booking Data

• Trip listings including route, date, weight, price
• Booking details including item descriptions
• Handover photos uploaded through the platform
• Boarding pass uploads
• Delivery confirmations

2.4 Payment Data

• Transaction amounts and dates
• Payment status and gate release history
• Card details are handled entirely by Stripe — we never store card numbers

2.5 Communication Data

• Messages sent through the platform between users
• Support requests and dispute communications

2.6 Technical Data

• IP address and browser type
• Pages visited and time spent on site
• Device type and operating system

3. How We Use Your Data

We use your personal data to:

• Create and manage your account
• Verify your identity as a Traveller
• Facilitate bookings between Customers and Travellers
• Process payments and manage escrow releases
• Send transactional notifications (booking confirmations, payment releases, reminders)
• Resolve disputes between users
• Comply with legal obligations including tax reporting
• Improve platform safety and user experience
• Detect and prevent fraud or abuse

We do not use your data for advertising, profiling, or automated decision-making that significantly affects you.

4. Data Sharing

We share your data only in the following circumstances:

4.1 Between Users

When a booking is confirmed, limited profile information (name, rating, suburb) is shared between the Customer and Traveller. Full contact details are only shared after payment is confirmed.

4.2 Service Providers

• Stripe — payment processing (governed by Stripe’s Privacy Policy)
• Twilio — SMS notifications
• Tawk.to — live chat support
• Hostinger — website hosting

4.3 Legal Requirements

We may disclose your data to law enforcement or regulatory authorities if required by law, court order, or to protect the safety of our users or the public.

We never sell your personal data to third parties.

5. Address & Contact Privacy

We take location privacy seriously:

• Only your suburb is shown publicly on trip listings
• Your full address and phone number are only revealed to a matched party after payment is confirmed
• Users are prohibited from sharing contact details outside the platform before payment
• Violations of this rule result in immediate account suspension

6. Payment Data

All payment processing is handled by Stripe Payments Australia Pty Ltd. We do not store, see, or have access to your credit card or debit card details at any time.

We store transaction records including amounts, dates, and payment gate release history for accounting and dispute resolution purposes.

By making a payment on OneRoomEarth you also agree to Stripe’s Privacy Policy.

7. Cookies

OneRoomEarth uses cookies to:

• Keep you logged in to your account
• Remember your preferences
• Analyse site traffic and usage (via anonymised analytics)
• Enable live chat functionality (Tawk.to)

You can control cookies through your browser settings. Disabling cookies may affect your ability to log in or use certain features of the platform.

8. Data Retention

• Account data: Retained while your account is active and for 7 years after closure for legal and tax purposes
• Transaction records: Retained for 7 years as required by Australian tax law
• Flight ticket uploads: Deleted after verification is complete
• Handover photos: Retained for 12 months after the transaction
• Messages: Retained for 24 months

10. Security

OneRoomEarth operates across 5 countries. Your data may be processed by our service providers in countries outside Australia including the United States (Stripe, Twilio) and Ireland (Tawk.to).
